Project Background
Hive Trees is an arborist company based in Ferntree Gully, Victoria, Australia. Founded by Michael and Mecs in 2012, they were reaching a point in their business growth where they needed to upgrade their project management and communications pipeline. They were generating more leads and projects than their simple paper form process was allowing.
To solve this, I took the time to understand their business. I spoke with staff, analysed their processes and assessed their resources. I then designed a range of practical solutions that would not just solve their current bottlenecks, but position them to scale and grow more easily over time.
Practical Solutions
To increase their conversion rate from leads, I created a quoting system that made it really easy for Hive staff to visit a property, estimate the work required, and send through a professional report to the prospective client. The report could easily include pictures from the site, as well as marked up annotations about what changes would be made. The quoting system then integrated into a new job management system. This job management system enabled the Hive admin staff to work in concert with Hive operation crews to schedule, complete, and bill for work. This included managing and tracking crew locations and schedules, and allowing them to clock-in and clock-off on site. This then integrated with their payroll which we overhauled into a new accounting and bookkeeping system.
Project Impacts
The project was a huge success. The job report caused their conversion rate to sky rocket, the new client communications systems increased client satisfaction scores, the project management systems allowed multiple Hive teams to collaborate with each, and the new accounting system made payroll, quotes and invoicing all more seamlessly integrated into existing business objectives and activities.
